WhatsApp booking bot

A booking bot that can
actually take the booking.

Most WhatsApp bots are a phone tree in a chat window. This one reads your live rate table, checks your real fleet calendar, sends a payment link and writes the confirmed booking into your admin panel.

The gap is the database.

Nearly every WhatsApp bot sold to rental companies is a conversation layer bolted onto the outside of whatever system you already run. It cannot see your rates, so it quotes from a price list somebody pasted into it months ago. It cannot see your fleet, so it promises cars that went out on Tuesday. The conversation feels modern and the answer is wrong.

Two bots, same chat window

A customer asks for an SUV for three weeks from Saturday. A bolt-on bot replies with a brochure rate and a link to your website, or tells them an agent will be in touch. An integrated agent checks which SUVs are genuinely free on those dates, prices three weeks against your weekly and monthly rates, tells the customer the monthly plan is cheaper, holds the car and sends a payment link.

  • One of those conversations ends in a booking
  • The other ends in a follow-up task for someone on your team
  • The difference is not the language model. It is what the bot can read.
How it reads

No menu trees. No keywords.

People do not message a rental company in structured form. They say “need something big for the family next weekend, few days maybe”. The agent works out what that means, holds the thread across several messages and asks only for what is genuinely missing.

  • Understands dates, duration, category and branch from plain language
  • Keeps context across a whole conversation
  • Handles the vague enquiry as well as the precise one
need something big for the family next weekend, few days maybe
Sure. For 3 days from Fri 25th I have a Land Cruiser or a Tempo Traveller. How many travelling?
6 of us
Land Cruiser then, 7 seats. 3 days comes to 3,900. Airport or a branch?
How it prices

Your rate table. Not a brochure.

The quote is built from the same rates your website uses, including the seasonal period that happens to be active and the duration band the booking falls into. If a monthly plan beats three weeks of weekly hire, the agent says so — which is how a short enquiry becomes a longer booking.

  • Seasonal rates and duration bands applied automatically
  • Tax and add-on costs included in the figure it gives
  • Suggests the term that is genuinely better value

How it closes

Chat in. Confirmed booking out.

The conversation does not end with “please visit our website”. The agent builds the booking inside the chat, sends a payment link from your gateway, and the booking confirms the moment the payment clears — written straight into the admin panel with the vehicle assigned.

  • No form to fill in, no app to download
  • Payment link from Razorpay, Stripe or your own gateway
  • Appears in the panel as a confirmed booking, not a lead

What it needs

What setup actually involves.

There is no magic here and it is worth knowing what you are signing up for. The agent runs on a WhatsApp Business number, which you own, and it needs your rates and fleet loaded before it can quote anything. That happens in weeks two and three of the normal four-week setup.

  • A WhatsApp Business number, registered to your company
  • Your fleet, rates and seasonal periods loaded in the panel
  • A payment gateway connected for the links it sends
  • Your escalation rules, so it knows when to hand over

And what it will not do.

Any vendor who tells you their bot handles everything is selling you a disappointment. These are the limits, stated plainly, so you can decide with your eyes open.

It stops and hands over

  • Accidents, damage disputes and anything involving an insurance claim
  • Contract negotiation on a corporate deal
  • Complaints, refunds and goodwill decisions
  • Anything outside the rates and rules you configured

When it escalates, the full chat history goes with it, so the person picking up does not make the customer start again.

It does not improvise

  • It will not invent a discount to win a booking
  • It will not quote a car that is out or in the workshop
  • It will not approve a change your policy does not allow
  • It does not take phone calls — this is WhatsApp, not voice

Constraints are the point. A bot that improvises is a bot that commits you to prices you never agreed.

Questions we get asked.

Yes, provided it is a WhatsApp Business number or can be registered as one. The number stays yours, and customers see your business name rather than anything of ours.

Yes. The WhatsApp link on your booking site feeds the same queue, so a conversation that starts on the website and continues on a phone is one conversation, not two.

It hands the conversation to a human agent with the full history attached. Escalation rules are configured during setup, and you decide which topics it should never attempt.

Yes. Conversations can be routed to multiple service agents, and the chat history goes across with the handover.

Yes, in Arabic and English on the same number. It replies in whichever language the customer opens with. Other languages can be added on request.

It is the difference between the $299 and $349 plans, so $50 a month on top of the website and apps. There is no separate contract and no second vendor.

Not usefully. The agent prices from your rate table and reads your fleet calendar, both of which live in the platform. Without them it would be the bolt-on bot described at the top of this page.

Watch it book a car.

On the demo call we will message the agent from your phone and you can watch the booking appear in the panel.
